How do I set up recurring invoices in QuickBooks Online?

Go to Settings (the gear icon), then select Recurring Transactions. Click New and choose Invoice as the transaction type. From there, QuickBooks will walk you through the details, but understanding your options before you start will save you from redoing things later.

You’ll pick one of three types. “Scheduled” sends the invoice automatically on the dates you set without any action from you. “Reminder” sends you a notification so you can review and send it manually. “Unscheduled” saves the invoice as a template you create on demand. For most business owners billing the same amount each month, Scheduled is the way to go. If the amount changes slightly each cycle, Reminder gives you a chance to adjust before it goes out.

Fill in the customer name, line items, amounts, and the schedule. You’ll set the start date, how often it repeats (weekly, monthly, yearly), and optionally an end date. If the engagement is ongoing with no defined end, you can leave the end date blank and it will keep generating invoices until you stop it.

A few things that trip people up. First, make sure the email address on the customer record is correct before setting an invoice to auto-send. An invoice going to the wrong email or bouncing back means you don’t get paid on time and might not realize it for weeks. Second, check your payment terms. If you want Net 15 or Net 30, set that in the template so the due date calculates correctly each time. Third, add a clear description in the line items so your client knows exactly what they’re paying for. Vague descriptions lead to questions and delayed payments.

After you save the recurring transaction, check back after the first one fires to confirm it went out properly. Look in the Sent folder under Sales to verify the invoice was delivered. It only takes a minute and catches problems early.

Recurring invoices work well for businesses with retainer clients, monthly service contracts, or subscription-style billing.
