How do I reconcile credit card transactions in QuickBooks Online?
Credit card reconciliation in QuickBooks Online works a lot like bank reconciliation. You’re comparing what QBO has recorded against what your credit card statement shows to make sure every transaction is accounted for and accurate.
Start by pulling up your most recent credit card statement. You’ll need the statement closing date and the ending balance. In QuickBooks Online, go to Settings (the gear icon), then select Reconcile. Choose the credit card account you want to reconcile from the dropdown menu. Enter the statement ending date and the ending balance exactly as they appear on your statement. Then click Start Reconciling.
QBO will show you a list of transactions for that period. Your job is to check off each transaction that matches what’s on your credit card statement. Go line by line. Compare the date, payee, and amount in QBO against your statement. When a transaction matches, click the checkbox next to it. As you check off transactions, watch the “Difference” number at the top. When that number reaches $0.00, your account is reconciled.
A few things trip people up. First, make sure you’re using the statement balance, not the current balance on your credit card’s website. The current balance includes charges made after the statement closing date. Those transactions belong in next month’s reconciliation. Second, payments you made toward the credit card will show up in the reconciliation as credits. These should match the payments reflected on your statement. If you made a payment that posted after the statement date, don’t check it off.
If the difference won’t reach zero, something is off. Look for transactions that exist on the statement but are missing from QBO. These need to be entered. Also look for duplicate entries in QBO, amounts that don’t match the statement, or transactions that were accidentally categorized to the wrong credit card account. Don’t force the reconciliation by clicking “Finish Now” with a remaining difference. That creates a discrepancy that gets harder to track down later.
Reconcile your credit cards monthly, ideally within a few days of receiving each statement. Waiting several months and trying to reconcile all at once makes errors much harder to find because you lose context on what those charges were for. Monthly reconciliation also catches fraudulent charges faster.
If you have multiple credit cards for the business, reconcile each one separately using its own statement. Keep personal spending off your business cards entirely. When personal charges end up on a business credit card, they still need to be recorded in QBO as owner’s draws or shareholder distributions rather than business expenses.
